Privacy Notice
We take your privacy seriously. The University of Leeds acts as data controller for information collected during registration and delivery of the Brick by Brick programme. This notice summarises what personal data we collect, how we use it and your rights under the UK GDPR and Data Protection Act 2018.

What data we collect
We collect your name, organisation, job title, email address, phone number, pronouns, sector, dietary and access requirements, and any other information you provide as part of registration. During the course we may record photographs or video images. Optional demographic data (e.g., sector or role) helps us analyse diversity and improve the course.
Why we process your data
We use your personal data to:
- Administer your booking, take payment and provide confirmation, joining instructions and certificates.
- Facilitate the course, ensure that you receive appropriate support and make reasonable adjustments for accessibility.
- Provide ongoing support, including sending you materials from BRICKMIND and invitations to join the BRICKMIND community.
- Evaluate the programme, including sending feedback surveys and reporting anonymised statistics to our training partner Inthrface.
- Inform you about future LEGO® Serious Play® or HELIX events that may be relevant to your role; you can opt out at any time.
Lawful bases
Processing is necessary for the performance of a contract (providing the course), for our legitimate interests in improving services and maintaining contact with professional networks, and where you have given explicit consent (e.g., for marketing communications or dietary information).
Sharing your data
We will share relevant information (e.g., attendance lists, dietary requirements) with training partners and venues only as needed to deliver the course and issue certification. We may share your contact details with sponsors or partners for legitimate interests (e.g., networking), but we will give you the option to opt out. We will not sell your data or share it with third parties for unrelated marketing.
Data retention
We will retain your registration data for up to two years after the course for auditing and evaluation purposes. Financial records may be kept for longer in accordance with legal requirements. Images used in marketing may be stored until we refresh our promotional materials.
Your rights
You have the right to access, rectify or erase your personal data, to restrict processing, to object to direct marketing, and to lodge a complaint with the Information Commissioner’s Office. Please contact [email protected] for any queries about your data.
Sustainability Notice
Sustainability is integral to the University of Leeds and is embedded in our research, teaching and operations. We are committed to reducing the environmental impact of our training activities and to supporting the University’s Climate Plan and Environmental Policy. For Brick by Brick we will:
Minimise waste by using durable LEGO® kits that can be reused in future workshops and by providing digital materials rather than printed handouts wherever possible.
- Source responsibly by using catering suppliers who prioritise local, seasonal and sustainable produce and by offering vegetarian and vegan options by default.
- Encourage sustainable travel by providing information about public transport, cycling routes and carsharing options when sending joining instructions.
- Reduce energy use by choosing wellinsulated, energyefficient venues and switching off equipment when not in use.
- Promote reuse by encouraging delegates to bring reusable water bottles and coffee cups; water refill stations will be available.
- Review and improve by evaluating the environmental impact of each cohort and identifying actions for further reduction. Feedback is welcome.

Accessibility Notice
We aim to ensure that Brick by Brick is accessible to all participants. In line with the University’s accessibility guidance, we will:
- Provide an accessibility statement with invitations asking you to inform us of any requirements, such as alternative formats, dietary needs, prayer space or assistive technology.
- Choose venues that are fully accessible with stepfree access, accessible toilets, nearby disabled parking and hearing loops.
- Schedule training within core hours and include frequent breaks to accommodate caring responsibilities and health needs.
- Offer materials in advance and in alternative formats (e.g., large print) and enable screenreader access.
- Ensure facilitators are briefed on inclusive practice and that the design of activities accommodates diverse learning preferences.
- Provide clear signage and make evacuation procedures inclusive for those who may need assistance.
